Track insurance and renewals

Checked 2026-08-06 · A couple of minutes to read

Open Governance, then Insurance & continuity, and select New policy. Record the type, insurer, cover and renewal date. Each active policy's renewal is added to your compliance calendar automatically, and the register flags anything due in the next 90 days.

Add a policy

  1. Go to Governance, then Insurance & continuity.
  2. Select New policy.
  3. Pick the Type, for example public liability, trustee indemnity or buildings.
  4. Add the Insurer, Policy number and Broker contact.
  5. Enter the cover amount and yearly premium if you know them.
  6. Set the Start date and, most importantly, the Renewal date.
  7. Choose an Owner, the person who manages this policy.
  8. Select Create policy.

What happens next

Every active policy with a renewal date gets its own entry in your compliance calendar, so the renewal sits alongside your other deadlines. If you change the renewal date, the calendar entry moves with it.

The register lists policies by renewal date, and flags any that are due within 90 days or already overdue. Nothing renews or lapses by itself. The flags are there so a person acts in time.

Continuity notes

Each policy has a space for continuity notes: what the cover protects and any key-person dependencies. You can also link a policy to an entry on your risk register, so a risk and the cover that answers it sit together.

Archiving old policies

When cover ends, edit the policy and select Archive. Archived policies keep their history, and you can restore them at any time, so you never lose the record.
