Bring in minutes from before CharityControl
Go to Meetings and select Import past minutes. Upload a PDF, Word or text file and we propose the meeting, decisions and actions we can read. Review the proposal, untick anything wrong, then confirm. The minutes are filed for the board to approve.
Import a past meeting
- Go to Meetings and select Import past minutes.
- Choose a file or drag it in. PDF, Word (.docx) or plain text, up to 15MB.
- We read the document and propose what we found: the meeting title, date, attendees, decisions and actions. Nothing is saved at this point, so you can't break anything by looking.
- Check the title and date, and fix them if we got them wrong.
- Look through Decisions to record and Actions to record. Everything starts ticked. Untick anything that's wrong or that you don't want, and only the ticked items will be recorded.
- Select Create records (for sign-off).
What happens next
A past meeting is created with the ticked decisions and actions, each clearly marked as imported from historical minutes. The minutes themselves are filed as shared, ready for the board to approve as a true record at a meeting, the same way as any other minutes. See minutes: draft, circulate, approve.
Do this for a few years of old documents and you end up with a searchable history of past decisions, all in one place.
Common questions
My minutes are a scan or a photo. A scanned image has no text for us to read, so little may come through. You can still type the details in on the same screen.
What if the AI misreads something? That's exactly why you review first. Edit the fields, untick the wrong items, and only what you confirm is ever recorded.
