Let AI draft your minutes
In a live CharityControl video meeting, select Record and transcribe. A transcript builds during the call, and the sound file is deleted once it's saved. Afterwards, create the recap and use AI draft for the minutes. Nothing is final until you review and approve it.
Record and transcribe the meeting
- Run the meeting on CharityControl video (included). Recording only works there, not on Zoom, Teams or in-person meetings.
- Once the meeting is live, select Record & transcribe in the Meeting recap section, then Start recording. Everyone in the call is told it's being recorded.
- The transcript builds during the call, appearing on the meeting page every minute or so.
- Select Stop when you want to finish recording. Ending the meeting stops it too, so it can never run on by accident.
- Once the transcript is saved, the sound file is deleted. Only the written record is kept.
Create the recap
- After the meeting, the recap section shows Who spoke and the full searchable Transcript.
- Select Create the recap. AI reads the transcript alongside the meeting's own records and writes a summary: what was covered under each item, suggested follow-ups, and the questions people raised.
- Next to any suggested follow-up, select Create action to turn it into a real action. Suggestions stay suggestions until you do.
Draft the minutes with AI
In the Minutes section, AI draft (or Redraft with AI on an existing draft) writes up the minutes in a natural style. Edit the draft as much as you like, then share and approve it in the usual way. See minutes: draft, circulate, approve.
What AI will never do
Your recorded decisions and vote counts are the authority. The AI reads them but can never invent a decision or change a result. And nothing it writes becomes part of your formal record until a person reviews it and approves it. A small meter shows how many AI-drafted minutes your plan includes each month.
