Give an advisor limited access
Add them on the Users & roles page with the Advisor role. Advisors can view and draft almost everything but can never approve, vote or manage users. Set an access-end date if the engagement is fixed, and their sign-in stops when it passes.
Add an advisor
- Go to Admin & settings, then Users & roles.
- Select Add user.
- Enter their email address and a display name.
- Under Roles, tick Advisor.
- If their engagement has an end date, set Access ends.
- Select Add user. They sign in with an email link, and there's no password to manage.
What an advisor can and can't do
The Advisor role is built for an accountant, independent examiner or governance consultant. They can view your registers and reports, and they can draft things for you, such as minutes or a policy review.
They can never approve anything. Formally approving minutes, adopting a policy and casting a binding vote are trustee acts, and the Advisor role has no approve powers at all. Advisors also can't manage users, and money settings like the funds register stay with your trustees.
Their access is labelled on the Users & roles page, so the whole board can see that an outside person has access. We record everything they do in the audit history.
Time-limited access
Set Access ends when you add them, or edit it later. Once that date passes, they can't sign in any more. You can also disable their account at any time with one click, and enable it again if you need to.
One advisor, several charities
If an advisor works with more than one charity on CharityControl, each charity adds them with the same email address. They then get a Your charities page with a short governance summary for each one, and can switch between workspaces. Each charity's records stay completely separate, and an advisor only ever sees a workspace that chose to add them.
