Approve a request to join

Checked 2026-08-06 · A couple of minutes to read

Requests to join wait on the Users & roles page until an administrator decides. Check you know the person, then choose Approve or Decline. Nobody can see anything in your workspace until you approve, and approving sends them a sign-in link by email.

Approve or decline a request to join

  1. Go to Admin & settings, then Users & roles. Requests waiting for a decision appear at the top of the page.
  2. Read the request. It shows the person's name and email address, plus a message if they left one.
  3. Check you know the person. If you're not sure, speak to them in person or by phone before you decide. Don't rely on the email address alone.
  4. Select Approve or Decline.
  5. If you approved, check their role. New joiners start as Trustee (Director). If they should be something else, change it on the same page. Roles: who can see and do what explains each role.

What happens next

If you approve, we email the person a link to the workspace. They sign in with the same email address they used to ask, and there's no password to set up (see how sign-in works).

If you decline, the request closes and no account is created. We don't email them, so you can explain in your own words if you want to.

Where do these requests come from?

Someone found your charity on charitycontrol.org and asked to join its workspace, leaving their name, email address and a short message. Nothing in your workspace is shown to them until an administrator approves.

Requests from people already in your workspace

The same page can show requests for a capability, for example Fundraising. These come from people who already have an account and tried to do something their role doesn't allow. Approving grants that one capability and emails them the good news. Declining sends them a short, kind note suggesting they talk to an administrator.
